Finance Coordinator

Join us as we grow! Retreat Farm, Ltd. seeks a highly organized Finance Coordinator to help maintain and enhance the Farm’s financial and administrative systems. This role will serve as a critical connection point for the public, disseminating information across the organization.

As the hub of Retreat Farm finance and administration, the Finance Coordinator is responsible for critical financial information, data management, monthly reporting, and general office management duties. Due to the interpersonal nature of this position, the Finance Coordinator needs to be someone who can communicate effectively (verbal and written) with a wide variety of individuals and can be responsive to the needs of the Chief Financial Officer.


Finance

  • Monitor and respond to the Retreat Farm finance email account

  • Process receipts and invoices daily

  • Manage digital record keeping for receipts and accounts payable, ensuring accurate

  • Records for all financial transactions, including management of Bill.com

  • Process and code accounts payable and income every week

  • Perform monthly reconciliations with the CFO to ensure contracted bookkeepers have all documents needed


Database Management

  • Data entry into CRM and communications databases: Salesforce and Mailchimp

  • Management of Salesforce, Mailchimp, Zapier, Jotform, and other data management tools, including troubleshooting and refining systems in support of Retreat Farm goals.

  • Support the Chief Financial Officer, Development Director, and Executive Director by running reports to help inform decision-making. 

  • Process monthly donor acknowledgment letters

Administrative & Operations

  • Greet visitors and answer the office phone, taking messages and distributing information appropriately

  • Monitor and respond to Retreat Farm general email accounts

  • Process mail daily

  • Coordinate supply orders with the management team and ensure supplies are appropriately stocked and tracked

Requirements:

  • Demonstrates a commitment to Retreat Farm’s mission and vision

  • Brings broad office administration and data management experience

  • Highly organized with a strong attention to detail

  • Skillfully navigates Google Suite

  • Skillfully navigates Salesforce, Mailchimp, Squarespace, or similar data, customer relationship management, and website platforms

  • Is a clear communicator who listens, distills information, and collaborates

  • Identifies problems and brings thoughtful recommendations to the administrative team for consideration

  • Is able to effectively manage multiple tasks and re-prioritize work as needed

  • Is able to work effectively in the absence of close supervision

  • Will seek support and clarity when needed

  • Is able to learn and retain instructions, policies, and procedures and continue to learn new skills to improve financial and office management

  • Is committed to helping build and contribute to a cohesive team

Work Environment:

Retreat Farm is a fast-paced and dynamic work environment. Candidates must be able to switch focus several times a day to address changing priorities while maintaining mental focus within an open office atmosphere with moderate noise levels and interruptions.

Physical Demands:

Ability to sit or stand for prolonged periods, climb stairs, occasionally walk over uneven terrain, and occasionally lift up to 25lbs. 

Wage & Benefits:

$22-$26/hr plus paid time off; employer contributions to health, vision, and dental insurances (optional); eligibility for a retirement plan with employer match (optional); and discounts at the Retreat Farm Market. 


This position is a FLSA non-exempt, full-time role (40 hours per week). Requires on-site presence and does not have remote/hybrid flexibility.

Reporting:

Reports to the Chief Financial Officer and supports Development Director and Executive Director as needed.
